Job Summary:  
This is a skilled administrative and clerical position responsible for providing administrative support in an assigned department. This position provides a wide variety of responsible, confidential, complex administrative, technical, programmatic, and secretarial duties to relieve Department Head as well as general administrative details. Work involves public contact, maintaining a variety of records, and receiving phone calls. 
 
Minimum Qualifications:
  • High School diploma or equivalent
  • Two (2) years of progressively responsible administrative work
Preferred Qualifications:
Public sector experience is preferred.

Major Duties:
  • Receives, screens, takes messages, and appropriately directs calls to the department; provides customer service to visitors and callers regarding information about or knowledge of department operations, policies, and procedures
  • Receives, sorts, and distributes mail
  • Compiles data for daily, monthly, annual, and other departmental reports
  • Files and retrieves materials and data from department computerized and manual filing systems; maintain the department's filing system
  • Completes special projects as assigned
  • Performs other related duties as assigned
Knowledge Required by the Position:
  • Knowledge of modern office practices, methods, equipment, and standard clerical procedures
  • Knowledge of Microsoft Suite
  • Knowledge of or ability to learn the department's rules, regulations, policies, and procedures
  • Knowledge of all municipal functions, contacts, and activities of various departments
  • Knowledge of basic arithmetic and general bookkeeping practices
Ability Required by the Position:
  • Ability to learn, understand and apply the concepts, practices and procedures of the department
  • Ability to pay close attention to details; ability to accurately record and transfer data from one source to another, and to perform basic mathematical calculations
  • Ability to learn Communicator and Visio
  • Ability to communicate orally and in writing
  • Ability to operate a computer
  • Ability to handle several projects simultaneously
  • Ability to understand and follow quickly and accurately oral and written instructions
  • Ability to maintain alphabetical and chronological files
  • Ability to speak clearly and distinctly at all times
  • Ability to establish and maintain effective working relationships with co-workers, other City employees and the general public
  • Ability to work accurately with detailed records and complex information
  • Ability to work independently
  • Ability to deal tactfully and courteously with general public in sometimes difficult and trying circumstances (Customer Service)
Supervisory Controls:  Work is performed under the direct supervision of the City Manager.
 
Physical Demands: The work is typically performed with the employee sedentary. The employee uses tools or equipment requiring dexterity. 
 
Guidelines:  Guidelines include City and departmental policies and procedures and applicable ordinances.
 
Complexity:  The work consists of a variety of administrative and clerical duties.
 
Scope and Effect: The purpose of this position is to support the efficient operation of the assigned department through coordination of a wide variety of administrative and clerical duties. 
 
Personal Contacts: Contacts are typically with department directors, vendors, other City employees, and the general public.
 
Purpose of Contacts: Contacts are typically accessed to give and exchange information and provide services.
 
Work Environment:  The work is typically performed in an office setting.
