Summary

A successful candidate will play an active role in the City of College Park’s existing operational success. The purpose of the position is to support the efficient operation of the department and City through the coordination of a wide variety of administrative and clerical duties.

 

Essential Functions

Independent judgment is required to identify, select, and apply the most appropriate of available guidelines and procedures as well as interpret precedents. This position is responsible for a wide variety of routine clerical and administrative duties including taking, referring, and handling incoming calls and messages, as well as maintaining manual and computer files.
 

  • Handles incoming inquiries and requests; answers the telephone; routes and returns telephone calls.
  • File and type forms and applications. 
  • Coordinate calendar events to include planning/scheduling appointments, meetings, and interviews; update regularly; contact parties involved as appropriate. 
  • Maintains confidential documents, reports, correspondence, and calls.
  • Copying, scanning, and filing all correspondence and other documents.
  • Processes, posts, and maintains logs and reports that must be signed or initiated.
  • May collect fees and prepare for depositing.
  • Assisting with in-person and online program registration.
  • Create captivating flyers.
  • Assist with maintaining our website.
  • Keeping the lobby area tidy and observing professional etiquette.
  • Maintains accessibility to the basketball court and other facilities
  • Performs other related duties as assigned.

Required Knowledge, Skills, and Abilities

  • Knowledge of all City departments, their functions, and contact information.
  • Knowledge of departmental policies and procedures.
  • Skill in operating modern office equipment.
  • Skill in oral and written communications.
  • Ability to handle multiple interruptions and adjustments to priorities throughout the day.
  • Ability to multi-task.
  • Ability to use tact and courteousness in dealing with the general public in person or by phone, as well as employees of the various City departments in all types of contacts arising during daily work activities.
  • Ability to write reports and business correspondence.
  • Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
  • Ability to understand and carry out oral and written instructions.
  • Must be able to use tact and courtesy in dealing with the public.
  • Must be able to analyze and evaluate procedures and work processes and to exercise appropriate judgment in establishing priorities and work methods.
  • Must be able to establish and maintain effective working relationships and to deal effectively and courteously with others, to work independently and in team settings.
  • Must be able to type or use a personal computer with word processing and related software and to enter and retrieve information with reasonable speed and accuracy. 
  • Moderate physical activity. Requires handling objects of average weight up to fifty (50) pounds, standing, sitting, and/or walking for more than four (4) hours per day.

Qualifications

  • High School diploma or equivalent.
  • Two (2) years of secretarial or general administrative experience; equivalent combination of education and experience.
  • Strong organizational and communication skills.
  • Experience in communicating with diverse communities, and in establishing and maintaining cooperative working relationships.
  • Proficiency in MS Office Suite, as well as knowledge and understanding of the organizational structure, workflow, and operating procedures.
  • Extensive hours and weekends will be required at times.
  • Pre-employment screening is required: criminal background check and drug testing.
