JOB SUMMARY:

 

The PT Office Manager for the Clerk of Court is responsible for managing the administrative functions of the department and performing various other duties as needed. 

 

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:

 

Assists the Clerk, Chief Deputy, and Assistant Clerk with various administrative functions to include assisting with the day-to-day operations with ordering supplies from various vendors, computer equipment, inventory control on various equipment and supplies, maintenance scheduling on various equipment., bank and mail procedures, make change for employees, back up to receipt room collecting fines.  

 

Handles requests for information from the open records email group, public, judicial staff, and elected officials; provides high-level assistance to a variety of internal and external customers for information within our software.  

 

Regular and predictable attendance is required.

 

Performs any and all other duties as required.

 

MINIMUM QUALIFICATIONS REQUIRED:

 

Education and Experience:

 

Four (4) years of administrative support or related office experience.

 

Any equivalent combination of education and experience, which provides the minimum level of qualifications, stated above.

 

Licenses and Certifications:

 

Notary Public for the State of Georgia

 

Knowledge, Skills, and Abilities:

 

Knowledge of applicable County, State, and Federal laws, rules, and regulations and ordinances.

 

Knowledge of purchasing policies and procedures. 

 

Knowledge of basic principles of public administration.

 

Knowledge of Computers and applicable software.

 

Knowledge of record keeping, report preparation, filing methods, and records management techniques.

 

Knowledge of office administration practices and procedures. 

 

Skill in the operation of basic office equipment. 

 

Skill in oral and written communication. 

 

Skill in public and interpersonal relations.

 

 

ADA Minimum Qualifications:

 

Physical Ability: Essential functions of this position continuously require the ability to remain in a stationary position (sitting or standing); operate a computer and other office machinery, such as a calculator, copier, and printer. Incumbents must continuously be able to think analytically; handle stress and emotion, concentrate on tasks, remember names and other details; examine and observe details; make decisions, and adjust to change. Incumbents must also meet deadlines; stay organized; use math/calculations and use a keyboard/type.

 

Essential Functions frequently require the ability to move about inside the office; and move/transport items up to 50lbs.

 

Essential functions occasionally require the ability to bend the body downward and forward by bending spine and legs, and twisting at the waist, hips or knees; reach overhead; push or pull; and repetitively use hands/arms/legs. 

 

Sensory Requirements:  Essential functions regularly require the ability to use effective verbal and written communication; and use of hand/eye coordination and fine manipulation to use equipment.

 

 

Environmental Factors: Essential functions of this position continuously require the ability to either work with others or work alone.
