ASSISTANT CLERK OF COURT

 

GENERAL JOB DESCRIPTION

The Assistant Clerk of Court in the City of Cumming must assist the Clerk of Court in managing the activities of the Cumming Municipal Court. This position is responsible for assisting the Clerk of Court in organizing the Court Calendar and managing the operations of the City of Cumming Municipal Court.  The position of Assistant Clerk of Court is directly subordinate to the Clerk of Court. 

AUTHORITY AND RESPONSIBILIITY

The work of this position involves performing purely administrative duties.  Duties may be performed independently in accordance with departmental rules and regulations and state law as well as supervision received from higher authority. 

The Assistant Clerk of Court is directly responsible to the Clerk of Court in reference to performance reviews, but should be available to assist any employee in the Department.

GENERAL DUTIES

This is a highly responsible and confidential position which serves to support the Court function of municipal law enforcement while simultaneously managing all of the record keeping mandated by State Law.

While serving in the role of Assistant Clerk of Court, the Assistant Clerk of Court:

  • Coordinates all activity relating to court cases, insuring that they are handled in a timely and legal manner according to state and Federal law,
  • Checks jail list daily to insure that inmates are processed through court as soon as possible
  • Insures that there is a Solicitor in court for all cases and coordinates with the Solicitor in reference to all reports, subpoenas and warrants processed through the Court,
  • Makes arrangements with Judge for all arraignments, special hearings, warrant signings, and similar activities,
  • Attends court proceedings, may call all court cases, records dispositions and collects fines,
  • Forwards (or directs the forwarding of) dispositions to Georgia Crime Information Center as required by law and to the Department of Motor Vehicles,
  • Subpoenas witnesses, and gathers evidence from the evidence custodian for City of Cumming court appearances.
  • Maintains cash bond list insuring that all bonds, court costs and city charges are kept up to date according to law,
  • Forwards proof of all Municipal Court appearances by witnesses and Department Staff to the City of Cumming Finance Department to ensure that officers are correctly compensated, and
  • Maintains the data fields on the citation / municipal court and finance computer programs.
  • Balances deposit of Municipal Court receipts (checks and cash), prepares deposit slip and carries deposit to bank.
  • Adds deposit to weekly spreadsheet and emails copy to Finance Department. Sends original deposit slip via interoffice mail.
  • Performs all other duties as assigned by the Court Clerk, Solicitor or Judge.

DESIRED KNOWLEDGE, SKILLS AND ABILITIES

This employee must have versatile skills in order to serve different functions that would be covered by several employees in a larger organization.  Consequently, this person must be a fast learner and be willing to adapt to many different responsibilities.  Desired attributes may include:

  • Knowledge of criminal and court procedures, and legal terminology,
  • Standard office skills, such as personal computer use, bookkeeping procedures, filing system maintenance,
  • Knowledge of Police Department operations, technology, practices and policies,
  • Ability to communicate effectively, both orally and in writing, and
  • Ability to understand and follow complex oral and written instructions.

HIRING REQUIREMENTS

In order to be considered for this position, the individual must either demonstrate extensive experience in office management or prior training as an Assistant Clerk of Court.  An individual who has two years of experience in another administrative role may also qualify for this position.  A high school diploma or GED is required, but an Associates Degree is desired for an individual in this position.

All applicants will be required to undergo a background investigation, resume review, interview and drug screen prior to appointment.

Minimum Physical Requirements

Must be able to exert up to 20 pounds of force occasionally and 10 pounds of force frequently.  Physical demand requirements are at levels of those for sedentary work.
