Job Summary

The purpose of this position is to perform clerk of court duties related to current and historical civil/juvenile court records.  This position is responsible for clerical duties in recording, maintaining and managing all county civil/juvenile records which include but are not limited Petitions, Motions, TPOs, Child Support, Passports and Board of Equalization.  Communication with other agencies is essential and effective written and spoken correspondences are required.  Customer service is a vital part of the job to assist the public with services of the office in the form of record retrieval and as an information resource

Essential Function

Reviews and processes documents for filing and indexing

Data entry upon filing of civil/juvenile documents

Receipt copy fees and prepares deposits of funds

Scan, verify and print images to maintain civil records

Manage and schedule all cases as directed

Create calendars and notices for all civil court dates and distribute court notice accordingly

Attend court when directed by the Clerk

Court attendance requires managing case files, assisting judge, attorneys, probation and others with needed documents.  Manage calendar notes for perfecting the record.    

Calculate and process filing fees and copy fees

Assist Clerk with preparation of Appeals

Assist customers with locating documents and give guidance on using in house and online search resources

Process and respond to all mail/emails in a timely manner

Answer telephone and direct customers to the correct department or office clerk and assist customers with civil/juvenile related questions

Assist with historical preservation projects as directed

Maintain annual passport agent certificate in order to review and process passport applications

Other assigned duties as directed by Clerk of Superior Court

Work with coworkers in a professional and respectful manner

Knowledge Required by the Position

Knowledge of filing, docketing, and indexing systems for civil records

 Knowledge of legal terminology and required record-keeping procedures

 Knowledge of modern office procedures,

Knowledge of basic bookkeeping practices,

Skill in filing,

 Skill in basic mathematics,

 Skill in operating such standard office equipment as a printer, calculator, copier, computer and email,

 Skill in dealing with the public,

   Working Condition and Physical Demands

This work is performed in an office setting and requires interaction with the public and people with business to conduct in the Office of Superior Court.  The position requires sitting, standing, climbing stairs, working on computers, filing reports and papers with accuracy and requires lifting of objects that weigh up to 30 pounds without accommodations. The job frequently requires sitting for long periods of time with limited breaks.  Confidentiality and professional conduct is required at all times.  This position may require some work time flexibility to accommodate the schedule of the court.
