The City of Covington is currently accepting applications for the position of Special Events Coordinator in the Community Development Department with a minimum salary of $60,777.60 depending upon qualifications.

DEFINITION:
This position is responsible for the planning, execution and record maintenance of all large and small scale, city-sponsored events including, but not limited to, Fourth of July, Lighting of the Square and all vendor-driven markets. The Special Events Coordinator will work closely with members of the Tourism and Downtown Development Department to create events that enhance the sense of place for residents, newcomers and visitors.
ESSENTIAL DUTIES AND RESPONSIBILITIES
• Plans, coordinates and serves as the primary point of contact for all City sponsored events including, but not limited to, Independence Day Celebration, Lighting of the Square, Summer Concerts, Lights at Legion, and all vendor-driven markets (i.e. Farmers Market, Ag Day, Christmas in July, Fall Festival, Mistletoe Market).
• Participates in the creation of the annual City event calendar
• Manages event day operations for City staff and volunteers
• Coordinates with City departments regarding public safety, road closures and sanitation as needed for events
• Collaborates with community partners to execute successful events
• Manages administrative aspects of event planning, including purchasing, record keeping, budget development and some bookkeeping
• Coordinates the volunteer base for special events
• Generates after action reports for all events and forecasting for future events
• Presents occasionally at City Council meetings regarding City events
• Assists in the preparation of the Program budget regarding event expenses
• Collaborates in the creation of RFPs in regards to large scale event vendors
• Maintains log of appropriate market vendors and fields requests for participation in farmers markets
• Creates layout for individual markets, and assigns appropriate spaces to vendors
• Corresponds with vendors regarding attendance, market placement and payments
• Collects payments from market vendors and issues receipts as necessary
• Books appropriate talent for performance driven events
• Coordinates talent needs with lights, stage and sound providers
• Coordinates applicable support vendors for events including, but not limited to, portable restrooms, additional food vendors, face painters and other entertainment vendors
EDUCATION AND/OR EXPERIENCE
(A) Bachelor’s degree in business administration, marketing, public administration, planning or a field related to downtown development;
(B) Supplemented by five (5) years of experience with concentration in event management or economic development,
(C) Any equivalent combination of education, training and experience which provides the requisite knowledge, skills and abilities for this job.
DESIRABLE KNOWLEDGE, SKILLS AND ABILITIES
• Large event planning experience.
• Skill in the operation of a personal computer using, MS-Word, Excel, Power point, Outlook, BS&A, and other software.
• Ability to understand and follow complex verbal and written instructions.
• Skill in establishing and maintaining effective working relationships with elected officials, co-workers, City employees, the general public, business and community leaders
• Ability to plan work so as to accomplish timely and accurate results and to initiate routine actions without prior instruction.
• Ability to successfully interact and respond to common inquiries or complaints from customers or members of the business community.
• Ability to write articles for publication that conform to prescribed style and format.
• Ability to effectively present information to management, staff or customers.
• Ability to solve practical problems and deal with a variety of variables in situations where only limited standardization exists.
TOOLS AND EQUIPMENT USED
• Computer, camera, copier, minimal video equipment, and any other office machinery.
SPECIAL REQUIREMENTS
• Must possess and maintain a valid state driver’s license with an acceptable driving history.
