JOB SUMMARY
Under general direction, develops, coordinates, schedules, promotes, implements, and evaluates City-sponsored events, festivals, rentals, and community celebrations. The position serves as the operational lead for City events and is responsible for event planning, logistical coordination, interdepartmental collaboration, and on-site operational oversight.
The role exercises independent judgment in coordinating event operations, safety logistics, vendor activities, permitting coordination, and operational issue resolution while ensuring events operate within approved budgets, established policies, and safety requirements. This is a hands-on operational position requiring active participation in event setup, execution, breakdown, and real-time event coordination.
ESSENTIAL JOB FUNCTIONS:
· Develops, coordinates, promotes, and implements community engagement initiatives, downtown programming activities, City-sponsored events, rentals, and tourism-related programming aligned with organizational priorities.
· Serves as the operational lead for assigned events and program initiatives, coordinating logistics, scheduling, safety considerations, operational support, and issue resolution during implementation activities.
· Coordinates sponsor participation, vendor activities, partnership engagement, volunteers, and community stakeholder involvement for assigned initiatives and events.
· Coordinates operational support activities, permitting, rentals, and logistical approvals across departments and external agencies to support successful implementation of events and program initiatives.
· Develops and maintains working relationships with businesses, nonprofit organizations, sponsors, tourism partners, community groups, vendors, and City staff.
· Supports downtown engagement, business outreach, tourism promotion, and community visibility efforts in coordination with leadership and Communications.
· Maintains event and program calendars, operational records, sponsorship documentation, participation data, and related financial documentation in accordance with City procedures; does not exercise independent budget authority.
· Prepares reports, operational assessments, and recommendations related to events and program initiatives.
· Assists with setup, operational coordination, and breakdown activities associated with events and program initiatives
· Performs other related duties as assigned.
MINIMUM REQUIREMENTS:
Associate degree in Event Management, Communications, Business Administration, Public Relations, Hospitality, Marketing, or a related field; Bachelor’s degree preferred. Minimum of two (2) to five (5) years of progressively responsible experience in event operations, special event coordination, municipal programming, community engagement, or related field; or equivalent combination of education, training, and experience. Valid State of Georgia driver’s license with satisfactory motor vehicle record.
Knowledge, Skills, and Abilities:
· Knowledge of community engagement, downtown programming, tourism promotion, event coordination, and municipal operational practices.
· Skill in coordinating multiple projects, operational activities, stakeholder relationships, and event logistics in a dynamic environment.
· Skill in maintaining effective working relationships with businesses, sponsors, vendors, community organizations, and City staff.
· Ability to exercise independent judgment and resolve operational issues within established procedures.
· Ability to prepare reports, maintain operational and financial documentation, and track participation and activity metrics.
· Ability to communicate effectively with City staff, businesses, external stakeholders, and the public.
· Ability to operate computers, standard office software, social media platforms, and multimedia/audio-visual equipment.
· Ability to work independently and collaboratively in fast-paced operational and community environments.
PHYSICAL DEMANDS:
The work involves both administrative and physically active operational event coordination duties. The employee must be able to lift and carry materials weighing up to approximately 40 pounds, stand and walk for extended periods, and perform manual event setup and breakdown activities. Duties regularly include bending, lifting, carrying equipment, operating carts, and working outdoors during events, festivals, and community activities.
WORK ENVIRONMENT:
Work is performed in both office and outdoor event environments. The schedule frequently includes evenings, weekends, and holidays in support of City events and community programs. Exposure to varying weather conditions, noise, crowds, and high levels of public interaction is expected. The position operates in dynamic, fast-paced event settings requiring flexibility, physical activity, operational coordination, and on-site presence.
